Alternative · Wave

A Wave alternative for people tired of the upsells.

Wave was the "free forever" hero of small-business accounting until it started monetising aggressively through payment processing fees, paid add-ons, and a "Pro" plan. VioBusiness is a different model: a genuinely free tier, a one-time $19.99 Pro upgrade, no account needed for basic use, and no upselling for things you didn't ask for.

The short version. Wave is free for invoicing and accounting but monetises via payment processing (1% ACH, 2.9% credit cards), a $16/mo Pro plan, paid receipts/payroll add-ons, and bookkeeping services. VioBusiness has a forever-free tier (5 invoices/month), $19.99 one-time Pro upgrade, and doesn't process payments at all - you keep your existing Stripe/PayPal/Wise setup. If you mostly use Wave for invoicing and expenses, VioBusiness is the cleaner option.

i.What Wave does well

Wave is a Canadian product (owned by H&R Block since 2019) that built its reputation as truly free accounting software. The basics are still genuinely free:

For US and Canadian small businesses that want web-based accounting and don't mind paying for payment processing, Wave still works.

vi.Migration from Wave

  1. In Wave, export customer list and invoice history as CSV.
  2. Set up VioBusiness, create your Business Profile.
  3. Add active customers manually (or as you invoice them).
  4. Keep your Wave account active for historical records - you can downgrade to the free tier and use it as read-only.
  5. Switch invoicing for new clients to VioBusiness.

vii.Frequently asked

Does VioBusiness do everything Wave does?
No. VioBusiness focuses on invoicing, quotes, contracts, expenses, and customer management. It doesn't do double-entry accounting, P&L reports, bank feeds, or payment processing. For freelancers and microbusinesses who hand off the accounting to an accountant once a year, that's a feature, not a bug.
How does payment work without Wave Payments?
You add your existing payment instructions to the Business Profile - bank details for wire/ACH, Wise email, PayPal link, Stripe checkout URL. They appear on every invoice. Most freelancers find this works just as well as integrated payments because clients pay through whatever channel they prefer anyway.
I'm Canadian. Does VioBusiness handle GST/HST/QST?
Yes. Set tax rates per invoice for each province. See our Canada page and GST/HST guide for details.
What if my accountant is set up with Wave?
CSV export from VioBusiness works with any accountant. Your accountant can keep using Wave on their side; you hand them CSVs at year-end and they ingest them.
