i.Built for Canadian small business

Canada has a particular small-business profile: a lot of sole proprietors and incorporated freelancers, a tax patchwork (GST federally, HST in five provinces, PST separately in three, QST in Quebec), and a strong cross-border dynamic with the US. Most invoice apps come from south of the border with American assumptions baked in.

VioBusiness is a clean, professional invoice tool for Canadian small businesses. Set your tax once in the Business Profile. Bill in CAD for domestic clients, USD for cross-border. Export records that match CRA expectations. No subscription. No data leaving your phone unless you choose.

iii.GST, HST, PST, QST - briefly

Canadian sales tax is a layered system that varies by province. Here's what VioBusiness handles, and how:

GST (Goods and Services Tax) - 5% federal

Applies in every province but is "combined" with provincial tax in some. In Alberta and the territories you charge GST only (5%).

HST (Harmonised Sales Tax) - combined federal + provincial

In Ontario (13%), New Brunswick, Nova Scotia, Newfoundland and Labrador, and PEI (all 15%), GST is harmonised with the provincial component into a single tax rate. Set this as the per-invoice tax rate in VioBusiness.

PST (Provincial Sales Tax) - separate from GST

British Columbia (7% PST), Saskatchewan (6% PST), and Manitoba (7% RST) charge a provincial tax separately from the 5% GST. For invoices in these provinces, you'd typically show GST and PST as separate items - VioBusiness supports this by putting one as the invoice tax line and the other as a separate line item or note.

QST (Quebec Sales Tax) - 9.975%

Quebec runs its own sales tax (QST) administered by Revenu Québec, which mostly parallels GST but is administered separately. You charge both 5% GST and 9.975% QST on most taxable supplies in Quebec.

For the full breakdown including which province requires which combination, see our GST/HST on Canadian invoices guide (coming soon) and the dedicated Quebec QST guide (coming soon).

iv.What a Canadian invoice should include

The CRA doesn't prescribe an exact invoice format, but for it to count as a valid record for input tax credit (ITC) purposes, an invoice for sales of CAD $30+ must include:

VioBusiness produces invoices that include all of this by default. Set your GST/HST number in the Business Profile, set the tax rate per invoice, and the PDF carries everything CRA needs.

v.Sole proprietors, incorporated, partnerships

Whatever legal structure you operate under, VioBusiness adapts. The Business Profile takes a single name - your personal name for sole proprietors, the registered corporate name for incorporated businesses, or the partnership name. Add your GST/HST or QST number if registered. The result on every invoice carries the correct legal entity.

Important Canadian tax note: even unincorporated sole proprietors with revenue under the $30,000 Small Supplier threshold can use VioBusiness - just leave the tax rate at 0% on invoices. The app doesn't force you to register before sending a clean invoice.

vi.Cross-border billing

Many Canadian freelancers and consultants have US clients. VioBusiness handles cross-border invoicing natively:

vii.How it works, briefly

Invoices

Tap "New Invoice" → pick a customer → add line items → set the tax rate appropriate to the province → tap Send. The PDF renders in seconds. Share via Mail, Messages, AirDrop. Track status: Draft → Sent → Paid → Overdue.

Quotes & estimates

Build a quote, send it, and when the client accepts, convert to an invoice with one tap. The tax, line items, and dates carry over.

Expenses

Log every business expense for ITC tracking. Attach receipt photos from your library. Filter by category. Export to CSV for your accountant's bookkeeping software.

Multi-currency

Switch per invoice between CAD, USD, EUR, GBP, and 20+ others. Records remember both the original amount and currency.

viii.Frequently asked questions

Does VioBusiness handle GST, HST, and PST?
Yes. Set the applicable rate per invoice. HST provinces use a combined rate (Ontario 13%, Atlantic 15%). GST-only provinces use 5%. PST-separate provinces (BC, SK, MB) can show GST as the invoice tax line and PST as a separate line. Quebec's QST works similarly.
Do I need to register for GST/HST?
Small Supplier exemption: if your worldwide taxable revenue is under CAD $30,000 over four consecutive quarters, you don't have to register. Above that, registration is mandatory within 29 days. VioBusiness works fine before and after registration - leave tax at 0% as a Small Supplier, then set the rate when you register.
Can I send invoices in USD?
Yes - and it's a common Canadian use case. Set the invoice currency to USD; the PDF renders in dollars. Useful for cross-border clients. Records keep the original USD amount; convert to CAD for tax reporting using the appropriate exchange rate.
Does my data leave Canada?
By default, no - everything stays in a local database on your phone. If you opt into Cloud backup, the encrypted backup is stored in our UK infrastructure (we're a UK-registered company). Cloud is optional; the full app works without it.
Does VioBusiness export to QuickBooks or other accounting software?
Indirectly. VioBusiness exports CSV files for invoices, expenses, and contacts. Most Canadian accounting platforms (QuickBooks Online, Wave, FreshBooks, Sage) import CSV. You won't get one-click sync, but you do get clean records that any accountant or software can read.
Can I use VioBusiness for an incorporated business or partnership?
Yes. Put the registered corporate or partnership name in your Business Profile, add the GST/HST number, and every invoice carries the correct legal entity automatically.
