iii.What an American small business invoice needs

A US invoice is less prescriptive than its European cousins - there's no federal mandate on what fields to include. But to actually get paid (and to look professional doing it), an invoice should carry:

iv.Sales tax: the part everyone gets wrong

If you're a freelance service provider working from a home office, you almost certainly don't need to collect sales tax on most invoices. Most US states don't tax professional services - writing, design, consulting, software development, photography of digital files, and similar are typically exempt.

v.1099 contractors, both sides

If you're a 1099 independent contractor, you're the one being paid. Your clients are the payers; they file a 1099-NEC for every contractor they paid $600+ to during the year. Your job is to:

  1. Send clean invoices so your clients have an audit trail
  2. Track every invoice paid in a tax year
  3. Reconcile what you received against the 1099-NECs you get in January (clients are legally required to send these by January 31)
  4. File Schedule C with your 1040, reporting business income minus expenses

Do I need to charge sales tax on an invoice?
It depends on what you sell and where. Most professional services (consulting, design, writing, software) aren't taxable in most states. Tangible goods almost always are. If you do need to collect it, set the per-invoice tax rate in VioBusiness and the math is automatic.
Can I send a 1099-compliant invoice from VioBusiness?
VioBusiness generates standard invoices that any US client can match against a 1099-NEC at year end. The 1099 itself is issued by the client (the payer), not by you. Your job is to keep clean records of invoiced amounts and dates - VioBusiness does that automatically.
Does VioBusiness really work without a subscription?
Yes. The Free tier covers 5 invoices and 5 quotes per month forever. The Pro tier is a one-time $19.99 in-app purchase. Cloud backup is the only subscription, and it's optional - the full app works without it.
Does my data stay private?
By default, yes - everything stays in a local database on your phone. We don't have a server that holds your invoices. The optional Cloud backup tier encrypts and stores a copy in our infrastructure (hosted in the UK) so you can restore on a new device.
What if I switch phones or my phone breaks?
If you've saved a backup file anywhere - email it to yourself, save it to iCloud Drive or Google Drive, copy it to a thumb drive - you can restore to a new phone in under a minute. Cloud-tier subscribers restore automatically by signing in on the new phone.
Can I send invoices to clients in other countries?
Yes. Set the invoice currency to USD, GBP, EUR, CAD, AUD, or any of 20+ supported currencies. The PDF renders in that currency. Your records remember the original amount in the local currency.
Do I need an LLC or S-corp to use VioBusiness?
No. Sole proprietors, single-member LLCs, S-corps, and any other legal structure can use it. Put whatever business name you operate under in the Business Profile and it appears on every invoice and PDF.
