iii.What a UK invoice needs to include

HMRC sets out the minimum requirements for a valid VAT invoice (and reasonable practice for non-VAT invoices). VioBusiness produces invoices that meet these by default:

iv.VAT, simply

If you're VAT-registered, set your registration number in the Business Profile and the standard 20% rate as your default. On each invoice, the VAT line itemises with the rate, the VAT amount, and the gross total. Records are kept locally on your phone, and CSV-exportable for your accountant or for Making Tax Digital bridging software.

If you're not VAT-registered - typical for new sole traders below the £90,000 threshold - just leave the VAT rate at 0%. The invoice prints without a VAT line, with a clean total.

For special cases - reduced-rate items (5%), zero-rated supplies, exempt services, reverse charge - set the rate per invoice. For the full breakdown see our VAT on UK invoices guide (coming soon).

v.Sole traders, limited companies, and contractors

VioBusiness adapts to every legal structure. The Business Profile takes a single business name (which can be your personal name for sole traders, or the registered company name for Ltd companies). Add your VAT number if registered. The result on the invoice looks right whether you're an electrician trading as your own name, a consultancy under an Ltd, or a contractor invoicing through a personal services company.

If you're a Construction Industry Scheme (CIS) contractor or subcontractor, you can add a CIS deduction line to invoices as needed. The principal contractor deducts CIS at 20% (verified subcontractor) or 30% (unverified) from your labour element; the invoice should show this clearly. See our CIS invoice guide (coming soon).

Invoices

Tap "New Invoice" → pick a customer (or create one inline) → add line items → set the VAT rate → tap Send. The PDF generates on your phone in seconds. Share via Mail, WhatsApp, AirDrop, or any UK-standard channel. Status tracking: Draft → Sent → Paid → Overdue.

Quotes & estimates

Build a quote, send it, and when the client signs off, convert it to an invoice with one tap. The VAT, line items, dates, and notes carry over - no re-entering the same job twice.

Expenses with receipts

Log each expense with amount, category, and date. Attach a receipt photo from your phone (HMRC requires evidence of business expenses for self-assessment). Filter by category to see where the month went. Export to CSV for your accountant or your MTD bridging software.

Recurring invoices

Set a monthly retainer once, and VioBusiness issues the next invoice automatically when it's due - even if the app isn't open. The free tier creates these as drafts so you stay in control.

Multi-currency

Bill in GBP, EUR, USD, or any of 20+ currencies. Each invoice carries its own currency. Useful for UK businesses with EU or US clients, where invoicing in their currency reduces FX questions.

vii.Privacy and GDPR

VioBusiness is built so that, for free and Pro-tier users, GDPR is largely a non-issue: we don't hold your data. Your invoices, customer details, expenses, and business profile all live in a local database on your phone. The app doesn't phone home, doesn't sync to any server, and doesn't include analytics or trackers.

If you opt into the Cloud tier (£2.49/month), an encrypted backup of your data is stored in our UK infrastructure under your account. Even there, the contents are encrypted and we cannot read your invoices. Full GDPR rights apply: access, export, and deletion are available in the app and on request.

viii.Frequently asked questions

Do I need to register for VAT to use VioBusiness?
No. VioBusiness works equally well for VAT-registered and non-VAT-registered businesses. If you're not registered, simply leave VAT at 0% on each invoice. If you are, set the rate per invoice and VioBusiness handles the maths.
Is VioBusiness compatible with Making Tax Digital (MTD)?
MTD is a process for submitting VAT returns to HMRC, not an invoice requirement. VioBusiness produces a complete digital record of your invoices that you (or your accountant) can use as the foundation for an MTD submission - export the CSV and import it into your MTD-compliant bridging software like 123 Sheets, Vital Tax, or QuickFile bridging.
Does VioBusiness handle CIS deductions?
Yes - you can show CIS deductions on construction-trade invoices. The principal contractor's CIS deduction (20% or 30% of the labour element) appears as a line on the invoice. See our CIS invoice guide for the full mechanics.
Is my data GDPR-compliant?
Yes. By default, all your data stays on your phone - we never see it. If you opt into Cloud backup, the encrypted copy is stored in our UK infrastructure with full GDPR rights including export and deletion.
Can I use VioBusiness for a limited company, not just a sole trader?
Yes. Put the registered company name in your Business Profile, add the VAT number if applicable, and every invoice carries the correct legal entity. The same applies to LLPs and CICs.
Can I bill international clients in GBP, EUR, or USD?
Yes - VioBusiness supports 20+ currencies. Set the currency per invoice. Useful if you have French clients who prefer EUR or US clients who pay in USD.
Where is my data stored?
By default, only on your phone, in a local database that doesn't sync anywhere. If you opt into Cloud backup, it's stored in encrypted form in our UK infrastructure (London region).
