If you operate as a Limited company, a few specifics:
- Legal business name on every invoice. Use the registered Companies House name in your Business Profile. The invoice shows it correctly.
- Companies House number typically goes in the footer (or notes) on professional invoices.
- VAT number appears prominently on every VAT invoice.
- Director/secretary names can go in notes or on the invoice footer for higher-formality clients.
iv.The partnership/LLP perspective
- Use the partnership name in Business Profile.
- Include partner names and addresses in notes if required by client policy.
- Some LLPs choose to invoice from the LLP name with VAT registration in the LLP's name; others operate as individual partners. VioBusiness adapts to either pattern.

Does VioBusiness replace Xero or Sage for a Ltd company?
Generally no. If your accountant runs Xero or Sage for statutory accounts, payroll, and corporation tax filings, those stay where they are. VioBusiness sits in front of them as your day-to-day invoicing and expense tool, exporting CSV that your accountant ingests at month-end or quarter-end.
Can my accountant access my VioBusiness records?
Not directly - it's a single-user app. You export CSV and email/share with your accountant. For most small business arrangements this is the actual workflow anyway; the "your accountant has live access" model is a Xero/QuickBooks marketing point that doesn't apply to many real situations.
What about payroll and PAYE?
VioBusiness doesn't do payroll. If you have employees, use a dedicated payroll provider (Sage Payroll, Xero Payroll, BrightPay, Moneysoft) or a payroll bureau. VioBusiness is for the invoicing and expense side.
How does it handle EU clients post-Brexit?
For B2B services to EU customers, you typically reverse-charge the VAT - invoice at 0% UK VAT with a note "Reverse charge: customer to account for VAT in their own country". VioBusiness lets you set 0% per invoice and add the note in the notes field. See our VAT guide.
